About the role 

The Local Fleet Administrator is responsible for the day-to-day administration of the company's fleet of vehicles in multiple locations. This includes tasks such as accident management, contract management, cost control, database management, fines management, fuel card management, Purchase Request (PR), purchase order (PO), car list management, car reallocation, reporting, short term management, supplier management, etc. . The role ensures the efficient management, compliance, and maintenance of fleet -related processes like vehicle acquisition, registration, insurance, fuel usage tracking, and driver coordination.

Key Responsibilities:

  • Coordinates with leasing companies, drivers, and other stakeholders to ensure the smooth operation of the fleet in the specific location.
  • Support the administration of the company's fleet of vehicles in a specific location, including accident management, contract transfers, cost control, database management, end of contract/end of life management, fines management, fuel card management, car list management, car reallocation, reporting, short term management, supplier management, tyres, utilisation/recalculation rate, toll management, fuel card, PR/PO, Tiego registration
    • Monitor scheduled maintenance and repairs to ensure vehicle safety and compliance.
    • Coordinate vehicle acquisition, disposal, leasing, and renewal in line with company poli
    • Track fuel consumption, mileage, and costs, and report on fleet KPIs and performance.
    • Liaise with drivers to manage vehicle assignments, usage, and issue resolution.
  • Ensure compliance with all relevant transportation, legal, and environmental regulation.
  • Assist in the implementation and use of fleet management software and telematics
  • Support budgeting and forecasting activities for the fleet department
  • In accordance with Regional Fleet Manager, manages the company's fleet budget in the specific location and ensures that all expenses are within budget.
  • Support identification and implementation of opportunities to improve the efficiency and effectiveness of the fleet management process in the specific location.
  • Maintain and update fleet records, including vehicle documentation, contracts, insurance, and registration.
  • Act as a point of contact for internal departments and external suppliers related to fleet matters.

Qualifications:

  • Bachelor’s degree in Business Administration, Logistics, or a related field is a plus.

  • Experience in fleet management, logistics, or administrative coordination.

  • Strong analytical and organizational skills.

  • Proficiency in MS Office and fleet management tools.

  • Fluency in English is required; additional languages are a plus.
