About the role:
The Business Support Administrator provides administrative, operational, and front-of house support within the facilities management environment. The role is responsible for managing access cards, assisting with mailroom operations, providing reception relief, conducting inventories, collecting sustainability data, and supporting the Operations Manager where required. The position ensures smooth daily operations and contributes to efficient service delivery across the site.
What will you bring:
- Matric/ Grade 12 (Essential).
- Administrative or office support experience (2 – 3 years).
- Experience in facilities management, property, or corporate environments (Advantageous). Proficiency in MS Office (Word, Excel, Outlook).
- Experience with access control system is an advantage

What you will be doing:
Access Control & Card Management
- Process and issue new access cards for employees, contractors, and visitors.
- Maintain accurate access control records and update the system when changes occur.
- Ensure all access requests are authorised and compliant with security protocols.
- Track lost, damaged, or expired cards and manage replacements
Reception Relief & Front-of-House Support
- Provide relief reception coverage as needed, ensuring a professional and welcoming front-of-house experience.
- Answer calls, assist visitors, manage sign-ins, and support front desk processes.
- Uphold brand and service standards while interacting with employees and clients.
Mailroom & Logistic Support
- Assist with receiving, sorting, and distributing mail and courier parcels.
- Maintain logs for incoming/outgoing deliveries.
- Support any special logistics requirements for departments or events.
Inventory Management
- Conduct regular inventories of office supplies, stationery, and facilities-related stock.
- Ensure accurate recordkeeping and assist in forecasting replenishment needs.
- Coordinate with vendors or procurement for restocking within approved procedures
Sustainability Data Collection
- Gather and consolidate sustainability and environmental data (e.g., waste metrics, recycling volumes, utilities information).
- Maintain tracking spreadsheets, summary reports, and month-end submissions.
- Assist in implementing sustainability initiatives and awareness activities.
Work Orders & Plan on Administration
- Assist in creating, monitoring, and closing work orders in the system.
- Follow up with technicians, vendors, and stakeholders to ensure timely completion.
- Escalate outstanding or critical work orders to the Business Support Coordinator / Operations Manager
Support to the Business Support Coordinator
- Provide administrative and operational support in day-to-day tasks.
- Stand in during leave or absence, ensuring continuity of services.
- Assist with reporting, documentation, scheduling, and client communication where required.
