About the role: 

The Business Support Supervisor is responsible for overseeing the smooth functioning of administrative and business support services at the client site. This includes supervising subordinate staff (e.g., Mailroom personnel), managing office service requests, coordinating site functions, and ensuring accurate use of facilities systems. The role ensures that staff and site operations are supported efficiently, in line with CBRE’s service standards and client expectations.


What will you bring: 
  • Matric / Grade 12 (essential); tertiary qualification in Administration or Business Management preferred.
  • Minimum 3–5 years’ experience in business support, facilities administration, or office management.
  • Proven experience supervising staff in a corporate or client-facing environment.
  • Strong understanding of administrative systems and office management tools.
  • Proficiency in MS Office (Excel, Word, Outlook) and experience with corporate systems such as SAP, SharePoint, BMC, ZK preferred.

What will you be doing:

Team Supervision & Staff Support:

  • Supervise subordinate staff, including Mailroom personnel, ensuring work is completed accurately and on time.
  • Provide guidance, support, and training to staff on daily operational tasks.
  • Assist employees with office needs and queries, including stationery orders, meeting/training room setups, and support for site functions.
  • Monitor and support staff performance, ensuring adherence to operational procedures and client standards.


System Administration & Management
  • AP: Load and track supplier invoices for canteen, Metrofile, Batch Print, Post Office, Aquazania, and other facilities-related invoices.
  • Batch Print: Assist with business card SRM queries, ordering cards, updating employee information (address, contact details, branch names) as required.
  • SharePoint: Update and upload site files, ensuring documentation is accurate and current.
  • ZK: Conduct audits to ensure all contractors are terminated appropriately and all individuals are correctly captured.
  • BMC: Log SRS and IT requests accurately and follow up as needed.
  • BCM: Update and maintain relevant employee or site information.

Mailbox & Coordination
  • Manage PoolCars bookings and coordinate SRM drivers’ daily requests.
  • Assist with meeting room bookings and related queries.
  • Ensure smooth mailroom operations, handling incoming and outgoing mail efficiently.

Journals & Reporting

Maintain accurate journals for:

  • Business Cards (printed and electronic)
  • PoolCars
  • Metrofile

Prepare reports, including:

  • BSS Report
  • Monthly statistics
  • Postal recoveries
  • Monitor and review reports to identify trends, discrepancies, or areas for improvement.

Client & Stakeholder Interactions

  • Provide a professional interface for the client and site employees.
  • Respond to queries in a timely and accurate manner.
  • Collaborate with Facilities, HR, and IT teams to ensure smooth operations.
