About the role
The SSA Project Coordinator will support the delivery of multiple capital, infrastructure, and facility upgrade projects across Sub-Sahara Africa. The role requires close coordination with the CBRE Excellerate, Client’s stakeholders, and the external supply chain, to ensure projects are delivered on time, within scope, and in compliance with CBRE Excellerate’s standards, governance and the local country regulations.
The Project Coordinator will be responsible for day-to-day project administration, coordination, tracking, documentation, and support the project manager with ensuring alignment with the client expectations and project deliverables.
Responsibilities
- Project Coordination & Administration
- Support the SSA Project Manager in planning, organizing, and coordinating projects across multiple countries simultaneously.
- Coordinate contractor submissions.
- Track project milestones, risks, dependencies, and escalate issues promptly to the Project Manager.
- Coordinate site-level execution where needed, ensuring safety, quality, and timely delivery.
- Stakeholder Engagement
- Support the Project Manager with Client teams’ alignment.
- Support the Project Manager with communication management.
- Participate in vendor workshops, reviews, and progress meetings, preparing accurate MoMs and follow-ups.
- Support the Project Manager with clients reporting such as, flash reports, dashboards, and structured progress notes.
- Compliance & Governance
- Support QHSE review and documentation on projects.
- Ensure contractors/vendors maintain valid documentations and regulatory approvals.
- Monitor adherence to the Client’s financial closure timelines and reporting standards.
- Financial & Commercial Oversight
- Support the Project Manager on project budgets, invoicing, and financial closure in line with the Client’s process.
- Coordinate preparation of contract documentation.
- Support the Project Manager with, and commercial negotiations, escalating concerns.
- Documentation & Reporting
- Maintain accurate project records, registers, and document control for each project.
- Support with preparing project dashboards, trackers, and presentations.
- Consolidate and submit project progress, risks, and completion reports across SSA.
- Support closeout documentation, lessons learned, and knowledge sharing.
Skills and Competencies
- Strong project coordination and stakeholder management skills.
- Familiarity with compliance requirements (QHSE, state/federal certifications, regulatory permits).
- Excellent written and verbal communication skills.
- Proficiency in MS Office, MS Project, Smartsheet and other project management tools.
- Ability to prepare clear dashboards, trackers, and executive reports.
- Strong problem-solving skills, with ability to work under pressure in a multicultural environment.
- Bachelor’s degree/ Equivalent in Project Management, or related field.
- Minimum 1–3 years’ experience in project coordination or administration role.
- CAPM, Microsoft/Google Project Management, or equivalent certification is an advantage.
- Strong coordination and administrative acumen with relative experience in vendor management.
- On-time delivery of projects within scope and budget.
- Appropriate documentation of project documents.
- Clear coordination of projects according to the program.
- Clear, timely, and transparent communication with stakeholders (Internal and External).
- Positive client and stakeholder feedback on project Coordination.
