Purpose of the Work

Has direct accountability to perform exactly the requirements of the job tasks established in the present Job Description. Has direct accountability over keeping in good order the material / non-material objects received in their care.


Job Responsibilities
  • Operations & Sourcing
    • Liaise with various Internal or Client departments, provide solutions for miscellaneous requests and ensure operational flow;
    • Manage supplier relations, identify process improvements and evaluate the quality of service;
    • Administrative duties – document processing, supplier orders, EHS documentation and onboarding presentation for client allocated new hires, supplier contract editing, reporting, etc.
    • Develop processes and procedures in order to create an adequate and compliant work environment – internal or client based.
    • At the request of the OPS Lead conduct client audits based of specific processes and procedures;
    • Pre-sourcing activities (look for suppliers on the market; collect offers, manage purchases);
    • Provide support to all FMs and Facility Coordinators with client requests and operational guidance;
    • Office onboarding for CORP new joiners – access, office tour, facility procedures presentation, office amenities, technical equipment provisioning, etc.
    • Event management.
    • Any reports requested by CBRE and the client.
  • Finance
    • At the request of the finance department manage financial documents (receipt/delivery), create POs in FMP platform, ensure payment terms are abided by and ensure budget alignment.
    • Ensure invoice receipt from supplier and follow up in case of any discrepancies.
    • Support the finance department in document completion and submission for statutory purposes.
    • At the request of the finance department liaise with the external accounting services provider with different inquiries and reports.
  • Compliance with Codes, Regulations, Policies and Standards.
    • Audit and document compliance with codes, regulations, policies and standards.
    • Ensure compliance with all QHSE company procedures, codes, regulations, policies and statutory standards.
  • QHSE responsibilities
    • Each employee has to perform their activity in accordance with their education, training and instructions received from their employer, so that to not expose to the peril of accident or professional sickness either their own person or other persons who might be affected by that employee’s actions or omissions during work.
    • To correctly use the equipment, dangerous substances, transport equipment and other production means.
    • Will not stop, modify, change or arbitrarily remove their own safety measures, especially in relation with machinery, equipment, tools, technical installations and building, and will correctly use these safety measures.
    • Will immediately communicate to their employer or designated employees any work situation about which there are provable reasons of concern related to work safety and security, and also any deficiency of the safety systems.
    • Will bring to the attention of the site manager / employer the accidents suffered by their own person.
    • Will collaborate with the employer or the designated employees, as long as it is necessary, to ensure the success of any measures or requests required by the Labour or Sanitary Inspectors, as relates to employee’s safety and health protection.
    • Will collaborate, as long as it is necessary, with the employer and/or the designated employees, to allow the employer to ensure that the work environment and work conditions are safe and without risk for safety and health, in their activity field.
    • To be knowledgeable and to follow the current safety and health legislation and the measures for its applicability.
    • To offer the information required by the Labour / Sanitary Inspectors.
    • Applies section from the prevention and protection plan from the managed workplace.
    • Permanently check that the security requirements are met by their team and takes measures according to current legislation in case of non-compliance.
    • Perform periodical training of their team regarding work health and safety.
    • Checks the work health and safety norms are followed and insures, according to competency, the conditions for the norms to be applied in accordance.
    • Ensures the information conditions regarding the issues, measures and results related to work safety and the conditions for their consultation in all situations regarding their work health and safety.
    • Offers all necessary information to assess the risk level of labour, creating own instructions and establishing proper preventive measures.
    • Checks and takes action to maintain the equipment and work environment in accordance with work safety requirements.
    • Sets work tasks and organizes the activity in accordance with work safety requirements.
    • Immediately communicates any work accident and takes measures to not change the scene if it doesn’t lead to aggravation of the situation or maintains the same risk potential.
    • Insures the permanent good working conditions for all installations and equipment, and the practical training of those designated to manipulate them.
    • Ensures the communication to the works and/or their representatives regarding the measures to be taken related to safety and/or health signalling in the workplace.
    • Takes measure to give first aid and to stabilize the situation in case of accident.
    • Requires changes to the prevention and protection plan according to priorities and to new situations in the workplace.
    • Carries out its work safely and in accordance with his/her specific job and legal provisions; understands and demonstrates in everyday work the responsibilities and tasks he/she has; identifies the hazards that occur in the workplace during the working hours;
    • Reports the identified hazards to the individual responsible to take action;
    • Contacts the appropriate emergency services in case an accident is reported;
    • Fully complies with the evacuation plan in case of emergency;
    • Participates to the periodical training on regulations and legislation referring to labour protection and firefighting;
    • Performs specific activities while permanently complying with the environment protection rules and regulations; adopts the legislation and the environmental protection standards through regular trainings and practical applications, in compliance with the job;
    • Applies emergency and evacuation measures
  • Standards for the Facilities Organization
    • Develop, review and compare performance metrics for Facilities management services (benchmarking, measuring observable behaviours, service response, resolution times and so forth). Establish key performance indicators (KPI).
    • Develop, implement and monitor best value practices.
    • Develop customer service level agreements.
    • Programs, Procedures, Training, and Tools: FM Pulse Assessment Program Deliverables.; Monthly KPI reports.
    • Review Service Level Agreements.
  •  Quality of Services Provided.
    • Monitor customer satisfaction and service delivery performance and provide feedback to customers.
    • Collect, verify, analyse and report Facilities management data from various sources (space plans, customer satisfaction, feedback mechanisms).
    • Collect and verify, analyse and report internal Facilities management data (utilities, work orders, work history).
    • Conduct assessment of third-party providers (suppliers, contractors, consultants).
    • Programs, Procedures, Training, and Tools: FM Pulse Assessment Program Deliverables.: As required. Survey results, customer satisfaction, etc.; Monthly.  Internal Facilities management data; Quarterly.  Third party provider assessments.
  • QHSE:

Acting with the authority of the employer's representative in the area where it is assigned, it is responsible for monitoring and supervising whether the occupational health and safety measures taken in the workplace are complied with, and for reporting and working to eliminate nonconformities. When assigning duties to the employee subordinate, it takes into account the suitability of the employee for the job in terms of health and safety. CBRE acquires the necessary organization and performs the duties to be aware of the duties, powers and responsibilities of the manager as defined in the QHSE Procedures.
