Job Summary

The Office Manager is responsible for ensuring the smooth and efficient day-to-day operation of the office. This role oversees administrative functions, office facilities, vendors, supplies, and supports management and staff to maintain a productive and well-organized work environment.

Key Responsibilities

Office & Administration Management

  • Oversee daily office operations and ensure a well-organized, efficient workplace

  • Manage office supplies, equipment, and inventory; place orders as needed

  • Coordinate office maintenance, cleaning, security, and utilities

  • Act as the main point of contact for office-related matters

Facilities & Vendor Management

  • Liaise with service providers, landlords, and vendors

  • Manage contracts related to office services (cleaning, security, telecom, maintenance, etc.)

  • Monitor service quality and ensure compliance with agreements

Finance & Budget Support

  • Review invoices related to office operations and coordinate payments with Finance

  • Support budget planning for office and administrative costs

HR & Employee Support

  • Support HR with onboarding/offboarding logistics (workspace, access, equipment)

  • Ensure compliance with internal policies (office rules, dress code, HSE guidelines)

  • Act as a point of contact for employees on office-related issues

Coordination & Reporting

  • Support management with administrative tasks and reporting

  • Maintain accurate records, files, and documentation

  • Coordinate meetings, office events, and internal activities when required

Qualifications & Skills

  • Bachelor’s degree in Business Administration or a related field

  • Proven experience as an Office Manager or in an administrative role

  • Strong organizational and multitasking skills

  • Excellent communication skills in English (both written and spoken) are required.
  • Excellent communication and interpersonal skills

  • Proficiency in MS Office (Word, Excel, Outlook)

  • Ability to work independently and handle confidential information
